Description

The HR Records Management Specialist is responsible for detailed information gathering, input, record-keeping, monitoring, and reporting duties for all departments. The specialist collects personnel information and maintains electronic personnel records involving the processing of a wide variety of status changes from source documents, research inquiries, and communicates appropriate information to various sources through correspondence, reports, or phone. This position requires heavy use of HR technology systems, including strong analytical and technical troubleshooting skills.

Regular attendance is required to perform the functions of this position.

Incumbent will maintain a customer-oriented awareness in acknowledging and responding to needs as they occur that customer satisfaction is met at all times.

Essential Position Functions & Duties (95%)

  • Develop, implement, and maintain records retention policies, schedules, and procedures aligned with legal, regulatory, and organizational requirements.
  • Classify, index, and maintain physical and electronic records to ensure accuracy, accessibility, and security.
  • Manage the lifecycle of records, including creation, storage, retrieval, archival, and destruction processes.
  • Conduct regular audits of departmental records to ensure compliance with retention schedules and information governance standards.
  • Assist departments in identifying records that require retention, transfer, or disposal.
  • Maintain inventories and tracking systems for stored files, digital archives, and confidential documents.
  • Process requests for records retrieval and ensure timely delivery to authorized personnel.
  • Customer Service Excellence: Demonstrated ability to interact professionally and effectively with a wide range of individuals, providing high quality support, resolving issues promptly, and maintaining a positive and empathetic approach to service delivery.
  • Strong organizational and time management skills: proven ability to manage records, files and data systematically and accurately. Strong attention to detail and the ability to prioritize tasks effectively in a fast-paced environment.
  • Adaptability with Technology: Comfortable working with electronic records system and adapting quickly to new software or technological processes. A proactive attitude toward learning and implementing digital tools to enhance productivity.
  • Participates in the development of computer queries utilizing PeopleSoft. Assist with managing records, ensuring compliance with legal requirements.
  • Assist with creating retention schedules, overseeing storage, and disposal, and scanning documents in Laserfiche.
  • Assist with submitting records and updates to the payroll department ensuring payroll timeliness and efficiency.
  • Assist with entering and updating all employee data ensuring PEOPLESOFT aligns with an employee’s current Job Data received from their department.
  • Ensure the secure and compliant destruction of records past their retention period, including coordination with shredding vendors and documentation of destruction.
  • Protect the confidentiality and integrity of sensitive, confidential, or protected information.
  • Provide administrative and technical support for special projects related to records management, compliance audits, or process improvements.

Qualifications

The applicant must meet one of the following:

  • High school diploma.
  • Associate's degree or higher from an accredited university in Business Administration, Human Resources, or a related field.
  • 1+ year(s) of experience in records management, document retention, and/or administrative support involving records handling.

Preferred Qualifications

  • Expert in Microsoft Office program.
  • Experience with human resource information systems (HRIS).
