Special Events Manager

UIW Mission


Position Summary
The Special Events Manager is responsible for handling the planning and promotion related to the University's special events and activities. A major focal point for this role is the planning and management of the Light the Way, UIW's signature Christmas event attended by more than 10,000 visitors. The Special Events Manager reports to the Assistant Director of Communications & Brand Marketing.

Job Duties


Knowledge Skills and Abilities
  • Excellent communication skills, both verbal and written.
  • Ability to meet deadlines and manage multiple tasks simultaneously.
  • Possess excellent attention to detail, accuracy, and quality.
  • Proven computer skills in MS Office to include Outlook, Word, Excel, and Teams, as well as social media skills.
  • Ability to effectively manage a budget.
  • Ability to effectively pivot with changing priorities and respond to schedule changes leading up to and including event dates.
  • Ability to work effectively with individuals from diverse communities and cultures.
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.


Required Education
Bachelor’s Degree.

Required Work Experience
  • Three (3) years of experience in complex event planning and execution.
  • Two (2) years of event budget management and expense oversight.


Preferred Qualifications
  • Knowledge of UIW events including Light the Way.
  • Proficiency in Adobe suite.
  • Proficiency in Canva.
  • Experience in higher education.
  • Bilingual in Spanish language.


Required Certifications, Licenses or Registrations
Must have a valid driver license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive for UIW.

Work Hours
Monday through Friday 8am to 5pm with extended hours as needed, especially during peak periods leading up to and including special events.

Physical Demands
  • Ability to lift up to 25lbs of event supplies.
  • Ability to reach overhead, bend, squat to retrieve event materials.
  • Ability to push/pull equipment carts holding up to 50lbs.
  • Ability to actively engage in events for extended periods of time, especially the major Light the Way event which is typically a 15-hr work day.
  • Ability to regularly move about campus and event venues to actively engage faculty, staff, potential/current students, and guests, as well as attend meetings on and off campus.
