Description

The HR department is seeking a part-time staff member to manage the record retention process and transition paper records to a digital format as needed. This position is vital to improve the organization, accessibility, and compliance of our HR records. The selected candidate will help streamline our HR operations, ensure compliance with legal and institutional requirements, and improve overall efficiency by addressing the existing challenges with record storage and management.

Key Responsibilities:

  • Organize and Assess Physical HR Records:
  • Inventory, review, and organize existing physical HR records, including files stored in various locations such as the basement cage, Lee Dry Goods, and within the HR department.
  • Identify outdated or irrelevant materials and ensure they are appropriately discarded or archived according to retention policies.

Develop and Implement Record Retention Schedule:

  • Develop a structured record retention schedule to comply with state, federal, and institutional legal requirements.
  • Regularly review and update retention policies to ensure they align with current regulations and best practices.

Digitize Paper Records:

  • Transition paper records to digital formats when necessary, ensuring accurate digitization and proper storage of digital records.
  • Ensure that digitized records are filed and stored appropriately in the department's electronic record system.

Ongoing Record Management:

  • Maintain a system for ongoing record management to ensure future records are properly organized, stored, and retained according to established guidelines.
  • Regularly audit and update records to maintain accuracy, compliance, and organizational effectiveness.

Ensure Legal Compliance:

  • Monitor and ensure that all HR records comply with legal retention requirements, including data privacy laws and record-keeping regulations.
  • Assist in preparing for audits and ensure that the department is fully prepared for any compliance reviews

Qualifications

Applicant must meet one of the following qualifications:

  • High school diploma or equivalent required. Associate’s degree or higher in business, human resources, or a related field preferred.
  • Previous experience in record management, data entry, or office administration preferred.
  • Familiarity with HR record-keeping practices and legal compliance requirements a plus.

Preferred Qualifications

  • Strong organizational skills with a keen attention to detail.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Basic knowledge of HR record retention policies, confidentiality, and compliance requirements.
  • Comfortable using office equipment, including computers, scanners, and fax machines.
  • Proficient in Microsoft Office Suite (Word, Excel, etc.) and record management software.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Comfortable transitioning physical records to digital formats, including scanning and organizing digital files.

Salary Range: $20.00-$28.00 an hour
